How far in advance should we start planning a corporate event?
A good rule of thumb is to start planning your event 3–6 months in advance, depending on the size and complexity.
For smaller events, 1–3 months can be enough. For larger events, we suggest you allow 6–12 months to secure venues and suppliers, particularly for London and in peak months such as June.

How do you handle last-minute changes or cancellations?
We handle last-minute changes or cancellations by working closely with venues and suppliers on your behalf, so you don’t have to manage the back-and-forth yourself.
We always ask for as much notice as possible, as that gives us the best chance of securing you flexible options. Wherever we can, we’ll look to move the event to a new date rather than cancel outright – aiming to keep any costs to a minimum (or avoid them entirely).
Our focus is on finding a practical solution quickly, while keeping things as smooth and stress-free for you as possible
Do you have preferred venues / hotel partnerships?
We remain impartial when it comes to venues and hotel partnerships; always recommending the options that best fits your specific needs and budget.
That said, we do have strong relationships with a wide range of venues and hotel groups. This means we can offer informed recommendations based on what’s performing well, as well as help secure the best options for your event.
In short, you get unbiased advice backed by real industry insight and trusted connections.
Can we use our own preferred suppliers?
Yes, in most cases you can use your own preferred suppliers. We just ask that they meet standard requirements, such as having public liability insurance and providing a risk assessment where needed. We’ll also check with the venue in advance, as some may charge a fee or have restrictions for bringing in external suppliers. We’re happy to liaise with both your chosen suppliers and the venue to make sure everything runs smoothly
How do you handle venue sourcing and contract negotiation?
We handle venue sourcing by researching options, checking availability and costs as part of our free UK venue finding service (a charge may apply for overseas events).
Once we’ve shortlisted suitable venues, we’ll present the best options based on your brief and guide you through the next steps.
In terms of contracts, most key terms are usually negotiated upfront before paperwork is issued. When a contract is provided, we’ll request a copy and review it on your behalf to make sure everything aligns with what’s been agreed
What happens if a supplier cancels last minute?
In the rate instance that a supplier cancels at the last minute, we step in straight away to manage the situation for you. We’ll work with the supplier to negotiate refunds or credits where appropriate and quickly source a suitable replacement.
Our priority is to minimise disruption and ensure your event runs smoothly for you.
